The type of personal information we collect

We currently collect and process the following information:

• Personal identifiers, contacts and characteristics (for example, name and contact details)
• Financial information (for the purpose of combating fraud and money laundering)
• Health and medical information (for the purpose of providing insurance advice)
• Property information (for the purpose of mortgage underwriting)

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for the following reasons: mortgage advice, assessment/qualification and underwriting; and insurance advice, assessment/qualification and underwriting. This information is collected on a contractual basis to assist us with providing you with a mortgage and protection advice service.

We also receive personal information indirectly from lenders (to assist in providing advice and establishing a lending product) and insurers (to assist in providing advice and establishing an insurance product).

We may share this information with:

• Lenders (specific lenders approached will be disclosed to you during the advice process)
• Insurance companies (specific insurers approached will be disclosed to you during the advice process)
• The Financial Conduct Authority (regulatory purposes)
• The Information Commissioner's Office (law enforcement)
• National Crime Agency and other law enforcement bodies
• Customer Relationship Management and Product Sourcing Systems

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are: contractual obligation; legal obligation; and legitimate interest.

How we store your personal information

Your information is securely stored in electronic format using our customer relationship management system, Mortgage Keeper. We also make use of market leading product sourcing technology provided by IRESS, Trigold, iPipeline and AIR sourcing.

We keep your personal information for as long as is necessary to fulfil our regulatory and legal responsibilities — as long as you are legally able to file a complaint or as long as we have a legal obligation under Anti-Money Laundering legislation. We will then permanently delete your information.

We also store your data on cloud servers via an encrypted upload using 256-bit AES encryption — the same level of protection used by major banks. Your data is stored and backed up in multiple carrier-grade data centres in compliance with GDPR regulations.

Your data protection rights

Under data protection law, you have the following rights:

• Right to be informed — the right to be informed about the collection and use of your personal data
• Right of access — the right to access and receive a copy of your personal data
• Right to rectification — the right to have inaccurate personal data corrected or completed if incomplete
• Right to erasure — the right to have your personal data erased
• Right to restrict processing — the right to request the restriction or suppression of your personal data
• Right to portability — the right to obtain and reuse your personal data across different services
• Right to object — the right to object to the processing of your personal data, including an absolute right to stop data being used for direct marketing
• Rights related to automated decision making and profiling — the right to object to automated decision-making and profiling
